Assistant Stage Manager

Main duties vary depending on SM/Director

The ASM reports directly to the SM. If the SM cannot attend a rehearsal, the senior ASMsteps in. ASMs usually commence their involvement by prompting and making notes inpencil in the Prompt Book. As the production fleshes out, slhe will graduate to a varietyof duties which culminate in working as running crew.A good ASM is quiet, well-organized, likes repetition and detail work, and is a strongteam player. Good reading skills and a well-articulated neutral voice are an asset(prompting) as is skilled with tools and the ability to remain unobtrusive. A sense of humour is a must!

Main Duties

- takes direction from the SM
- prompts actors with lines and sometimes blocking
- collects working props for rehearsals
- creates lists for props
- maintains a backstage Prompt Book for performances
- receives and executes calls from SM during the show, such as giving actor a 'go' or advising actor about vocal volume, etc
- communicates back to booth when calls are complete, actors on or off, missing prop, etc
- makes set changes during transitions or scene changes
- dresses actors backstage during show
- prepares and maintains a labelled props table
- checks that actors always have the correct hand props
- gives actors their 'calls' - 1 hour, 45,30,20, 15, 10, 5 and 2 minutes and leads actors to their places
- prepares stage food and liquids such as tea, fake alcoholic drinks, etc
- cleans up after show and re-sets for next show
- turns any receipts in to SM
- operates any backstage technical equipment such as pyrotechnics, flash boards, tossing objects, gun shots
- packs props (and if required, costumes) when changing venues, and maintaining an accurate list of contents of each numbered box
- if there is no Wardrobe Mistress, ASM may be assigned to take care of costumes: ironing, cleaning, hand washing, replacing nylons, sewing on buttons, hanging costumes up after each show, taking repairs to costumer, etc
- assists with all set-ups, strikes, load-ins and tear downs

Rehearsals

- you may be asked to prompt, do sign in sheet, lead warm ups, copy down blocking, etc.

Performance Nights

- do calls for actors
- be on head set backstage to give actors any directions from booth
- bring actors to backstage area on SM's instructions
- let SM know when actors are in place
- follow script in case actors have any questions
- let FOH people know when to open doors at ends of acts and the show (cue from SM)
- be there to cope with any emergencies - have emergency kit ready (sewing supplies, aspirin, tape, pins, arsenic etc.)
- keep actors and backstage crew quiet
- be sure that ONLY appropriate people are backstage
- post and check sign in sheet to know if cast and crew are there.

Stage Manager

Main Role and Responsibility

The Stage Manager (SM) is the person responsible for executing the Director's vision.She delegates and supervises to ensure the production is running on schedule. Theproduction becomes the sole responsibility of the SM after final dress rehearsal.

(In some instances the Director will retain artistic control, for example if theshow is continuing on to a festival. Ifthat is the case, the Director gives her/his practicalnotes to the SM, who implements them. The Director may also give SM notes to pass onto actors about their performances.)

Directly reporting to the SM are the Assistant Stage Managers (ASMs). Costumers and technicians will also report to the SM once the designs are approved by the Director. A good SM is well-organized, likes detail work and problem-solving, has excellentpeople skills, promotes ensemble and harmony, works well under pressure and can leadand delegate. The SM is the most powerful position on a production. An excellent SM is feared and respected and can be counted on at all times.

Main Duties

- maintaining a Prompt Book (can be delegated to ASM)
- creating and maintaining a Call Book
- scheduling rehearsals
- attending all rehearsals
- organizing set-ups, tear-downs and strikes and load-ins, tours
- supervising technical rehearsals
- trouble-shooting
- communicating between crew and Director
- creating and maintaining checklists for costumes, makeup,
- props, set pieces, pyrotechnics, fire arms
- timing the length of scenes and acts
- has information about venue: tech, light and ground plans, municipal regulations (fire, pyrotechnics, etc)
- collecting and turning in all receipts and bills to Producer
- calling the show
- liasing with House Manager and venue's and production's Technical Director
- running rehearsals in the absence of the Director
- can step in to assist with set building, decoration, props collection if required
... AND ...
- book up to date with all cues ready (and blocking)
- copy of all property, set, lighting, and sound sheets
- liaise with all technical crew so they know when they should be at rehearsals, what technical things are expected of them, etc.
- make notes about thing to be done re: tech and approach appropriate people - have rehearsal area taped out and ready for each rehearsal - start and end rehearsals
- time all rehearsals, acts, scenes, etc. for director
- if set needs to be moved, etc. make arrangements after checking with director
- from tech rehearsal on - run show - make sign in sheet
- be sure ASM knows what is expected re: jobs
- be sure all cast and crew know about sign in sheets
- be sure that all crew know about photo dates, cast party, etc.
- be sure that cast and crew know you will kill them if they do any stunts on last night or ANY performance night

Performances

- post and check sign-in sheet to know if all cast and crew are in and on time.
- be sure stage is clear and ready for production
- be sure techs have done their cue and equipment checks - clear all unnecessary people out of booth and playing areas
- do sound check with all needed intercoms (this can also be sound tech's job)
- turn off ringer on phones
- give house manager okay for opening house and talk to manager about intermission times. During intermission check that you are still on time with house manager.
- do calls for actors (this can be ASM) - call the show
- time show - if timing is very much off rehearsal talk to actors
- let FOH people know when they can open doors

Post Performance

- check that booth is in good condition
- repalr anything that is needed on set
- set for next day
- check that techs have put everything in order before they leave.
- check with director about any changes.

Lighting Board Operator

Main Roles and Responsibilities

- attend all techs and dress rehearsals and make up cue sheets
- make up lighting check sheet
- if there is no lighting designer ... hang lights and set gels as per SM's direction
- have lights checked with actors on stage in costumes
- note and make changes desired by director
- be sure that SM has copy of all cue sheets
- make pre-show check list

Performance

- do pre-show check and get cue sheets ready
- let SM know you have done pre-show check
- set pre-set
- be in booth from 15 minutes before show
- know where replacement lamps are in case you have to make a change during intermission

Post production

- booth area tidy
- cue sheets in a safe place
- make notes of any changes needed
- all equipment off

Sound Board Operator

Role and Responsibilities

- attend all techs and dress rehearsals and make up cue sheets
- if there is not technical directormake sound tapes as per SVs direction
- have sounds decked by director and actors
- note and make changes
- be sure that SM has copy of all cue sheets
- make pre-show check list

Performance

- do pre-show check and get cue sheets ready
- do head set check with all stations
- let SM know you have done pre-show check
- start pre-show music
- be in booth from 30 minutes before show

Post Production

- booth area tidy
- cue sheets in a safe place
- make notes of any changes need
- all equipment off
- all CD's, tapes, etc. returned after show.

Property People

Main

- find props - make and post complete list of props and where they go (so that someone can take your place if you get run over by a bus)
- retain list of where props come from so they can be returned
- find out from the actors which things they need handed and if there are any special needs.
- liaise with ASM for things you need
- return all props after run to appropriate people

Performance

- do pre-show check
- make sure backstage area is clean and free of unnecessary people
- let SM know you have done check
- know when house is in so the audience will not see you
- wait until audience is out of auditorium to set stage for next day
- be sure to wash all glasses and make new mixtures of drink and food the night performance so the actors don't have mold to contend with
- check that glow tape is in appropriate places so that people backstage don't hurt themselves.
Post Performance
- return all props to appropriate people

Front of House

Main

- all audience area is clean and free of clutter
- washrooms are clean and have paper
- dressing room is clean and set up
- there are sufficient people to take and sell tickets, give out programs and sell beverages
- after performance, do quick cleaning so building is good for next day
- set up table to sell tickets in foyer

Performance nights

- put on coffee, be sure that FOH people know what is to be sold and where it is - ensure FOH people know what they are doing (many only do this for one night)
- NEVER let audience members into the theatre or upstairs without getting the okay from the Stage Manager
- let SM know five minutes before you end the intermission
- let ASM know when house is in - before show starts and at the end of the intermission (be sure to check washrooms)
- remind any FOH person who remains upstairs that walking in the green room can be heard in the auditorium.
- remind FOH people not to open auditorium door at intermission or at the end of play until they have an okay from ASM (if they are in the audience, until house lights go on).
